Important Note About Who to Contact

Traveland is BBYO’s official travel partner and manages all flight-related arrangements, including booking, ticketing, seating, baggage, international and domestic flights, deviations, and airline communication.

BBYO manages all on-the-ground program logistics, including staffing, supervision, airport meet-ups, and transportation once teens land.

As a general rule:

  • For anything related to the flight, the airline, or the ticket → Contact Traveland
  • For anything else related to the trip that is not flights → Contact BBYO

BBYO offers multiple programs during the year. Please register by selecting the appropriate program for your student from the links below.

1️Book Flights Through Traveland
Booking with Traveland ensures:
• Teens travel with BBYO-staff supervision
• Traveland can assist with delays, rebooking, seating, baggage, etc.
• Accurate traveler details for international requirements 

If flights are booked independently, Traveland cannot assist — families must work directly with the airline. 

2️Request Any Domestic Flight or Deviation During Registration
If your teen needs a domestic connection or a different flight itinerary (deviation),
please complete the Domestic Flight and/or Deviation Request section in the flight registration form. 

3️Group Flight Seats Are First-Come, First-Served
• A $250 flight registration fee is due at the time of booking
• This reserves a seat on the group flight
• Final payment must be submitted on time for the seat to be confirmed
• Missed deadlines may result in losing the reserved group seat 

4️Receive a Discount When Booking Through Traveland
Families booking the group flight through Traveland will receive a
$250 discount applied to their teen’s BBYO program balance.

1. Group Flight Basics & Contact Information

What are the benefits of booking the group flight and what is included?

Booking the group flight ensures your teen travels with BBYO staff from the moment they depart the U.S. until they return. Traveland manages all airline arrangements, including rebooking if a flight is delayed or canceled. Teens also arrive and depart as a coordinated group, simplifying supervision and program logistics.

Can I book a direct flight from my home airport instead of using the group flight?

Yes. If you prefer a different itinerary, please request a flight deviation during your flight registration.

Please note that BBYO does not supervise flights outside of the designated group flight. If your teen travels on an alternate itinerary, they will be traveling independently and not as part of the supervised group.

Traveland is not responsible for flights booked independently and will not be able to assist. For any questions or issues with independently booked flights, you will need to contact the airline directly.

Why is the group ticket price different from what I see online?

Group airfares come from a separate airline system with different rules, availability, and protection. Traveland reserves seats well in advance to guarantee space for the entire group and manage the group contract. Individual tickets you see online are priced differently and do not include the same group benefits.

How or why did BBYO choose this specific flight (airline, airport, or time)?

BBYO and Traveland evaluate several factors:
• Safety and reliability of the airline
• Group seating availability
• Flight Timing
• Program start and end times
• Total cost and baggage allowances
The goal is to ensure smooth, safe group travel for all teens.

Where can I find the final flight information?

You can find flight itinerary details in the registration form. The final confirmations will be provided to families once Traveland has finalized and confirmed all arrangements about 30 days prior to departure.

Can I use credit card points, airline miles, e-credits, or vouchers to buy airline tickets?

No. Traveland is not able to purchase flights with miles, points, or airline credits.

Why should all flights be booked through Traveland?

This ensures:
• All teens travel on coordinated itineraries
• BBYO staff can supervise the group
• Traveland can support rebooking, delays, or emergencies
• Accurate traveler information and passport details
• Compliance with group contract rules

How early should my teen arrive at the airport?

For international departures, teens must arrive 5–6 hours in advance to allow for group check-in and BBYO staffing procedures.

2. Flight Registration, Payments & Deadlines

How much is the flight registration fee?

The registration fee for flights is $250. If you book your teen’s flights through Traveland, BBYO will apply a $250 discount to your teen’s program registration balance.

When is the flight registration fee due?

The $250 registration fee is due at the time of registration. This fee allows Traveland to reserve a seat on the group flight for your teen. Please note that this does not confirm the ticket—final payment is still required, and the seat will only be fully secured once final payment has been submitted.

Is the flight registration fee refundable?

The registration fee is refundable up until January 31, 2026. After this date, it becomes nonrefundable.

What is the flight registration deadline?

You can find the registration deadline for your group noted on the flight registration link. If you are not sure, please contact us at BBYO@traveland.net.

What if I missed the flight registration deadline?

We will not be able to offer your teen a seat on the group reservation. However, depending on how far along we are in the process, you may still be able to register for flights separately. If seats on the same flight itinerary are still available, Traveland can provide a quote for an individual ticket on that itinerary. At this stage, the $250 registration fee will not be charged upfront and will instead be collected together with the airfare once our team contacts you.

How much is the final payment?

Final payment depends on the specific group and flight itinerary your teen is traveling with, as costs can vary by program. To confirm your exact final payment amount, please check your registration link or contact us at BBYO@traveland.net if you are unsure.

When is the final payment due?

Payment deadlines will be communicated directly to families based on airline and program requirements. Generally, final payment is due 60 days prior to travel.

How does final payment work?

If you pay only the $250 flight registration fee when you sign up, you will receive an email from the Traveland team approximately 14 days before the final payment due date. This email will include a link for submitting your final payment by credit card. Reminder emails will also be sent during this period to ensure your payment is submitted on time.

Is the final payment refundable?

No. Final payment becomes nonrefundable after the final payment deadline.

What if I missed the final payment deadline?

If the final payment deadline is missed, Traveland will not be able to confirm your teen on the group flight. The $250 deposit is nonrefundable at this stage. Traveland can check if individual space is still available on the same flight itinerary; however, the fare will be based on current availability and pricing at the time of ticketing. A $50 late fee will apply to these bookings.

What if my teen cannot travel?

Email us at BBYO@traveland.net. Refunds depend on the airline’s fare rules, as well as timing of the cancellation. Most group fares are nonrefundable.

3. Booking Your Own Travel

If I book my teen’s flights independently, will Traveland offer support?

No. Traveland can only support flights that we issue. For independently booked flights, families are responsible for working directly with the airline for all questions, changes, delays, and problems.

My teen prefers a window or aisle seat. Can this be arranged?

Seat-type requests (aisle/window) can be made at check-in. Traveland cannot pre-assign seats on group tickets.

I bought my teen’s ticket on the same flight as the BBYO group. Can you link their ticket to the reservation?

No. Individual tickets purchased outside of Traveland cannot be linked to the group reservation.

4. Seats & Upgrades

I want my teen seated next to a friend. Can you arrange this?

Seat requests must be made at airport check-in. Traveland and BBYO cannot guarantee these requests, as seat assignments for group tickets are controlled by the airline.

My teen prefers a window or aisle seat. Can this be arranged?

Seat-type requests (aisle/window) can be made at check-in. Traveland cannot pre-assign seats on group tickets.

Can I upgrade my teen to Comfort Plus or a similar premium cabin?

Most airlines do not allow upgrades on group tickets. However, Traveland is happy to check availability on your behalf. Please include your upgrade request in the Special Service Request section of your registration form or email us at BBYO@traveland.net.

5. Unaccompanied Minors

My teen is 14 and considered an unaccompanied minor. What should I do?

Each airline has different rules for unaccompanied minors. Families must check the airline’s policies directly.
BBYO will only provide staff supervision for unaccompanied minors when it is required by the airline. Last-minute requests cannot be guaranteed.

Please note that additional airline unaccompanied minor fees may apply.

The airline is asking for the name of the adult picking up my teen. What should I enter?

BBYO will provide a placeholder name for booking and will share the final pick-up/drop-off staff information no later than two weeks before departure.

Can Traveland assist with booking unaccompanied minor services?

Yes. Traveland can assist with arranging unaccompanied minor services when required by the airline. There is a $125 Traveland service fee, in addition to the airline’s unaccompanied minor service fee, which varies by carrier.

6. Baggage Policies

Is checked luggage included in the ticket?

  • International flights (Europe, Asia, Israel): 1 checked bag under 50 lbs is included.
  • North America & Costa Rica: No checked bags are included; fees are paid at the airport.

Can we check luggage straight through from the domestic flight to the international flight?

This is possible only if your domestic and international flights are issued on the same ticket.
If the flights are on separate tickets, Traveland strongly discourages attempting to check bags through, as this is rarely permitted and often results in delayed or lost luggage. You may ask the agent at check-in, but it is not guaranteed.

Do domestic flights include checked bags?

Most do not. Baggage fees vary by airline and are collected at the airport or during check-in.

7. Online Check-In, Confirmation Numbers & Airline Systems

Why can’t I check in online?

Group tickets must be checked in at the airport. Airlines generally disable online check-in for group reservations.

Why does someone else’s name show up when looking up our reservation?

Group confirmation codes apply to the entire group, not to individual travelers. It is common to see unexpected names or information. Traveland recommends not linking group tickets to airline apps until all travel is completed.

What is the group confirmation number?

For security and privacy reasons, confirmation numbers cannot be shared. These codes are linked to the full group reservation.

8. Travel Programs & Rewards

Can I link Global Entry, CLEAR, or TSA Pre-Check to my teen’s reservation?

Yes. There is a place on the Traveland flight form to enter this information. These programs only apply at U.S. airports.

Can I link airline rewards numbers to my teen’s reservation?

Yes. You can submit a frequent flyer number in the registration system.

Can my teen earn miles on a group ticket?

Often yes, but not always. Mileage accrual depends on the airline’s policy for group fares.

9. Flight Registration Form Support

How can I get help filling out the flight registration form?

How can I correct information submitted incorrectly?

Contact Traveland immediately for any flight-related corrections (passport name, birthday, etc.) at BBYO@traveland.net. Please note that additional fees may apply.

10. Domestic Flight Questions

What is the domestic flight booking fee?

If a domestic flight is requested during registration and the airline allows us to combine the ticket with the international group flight, Traveland will issue one combined ticket without charging any additional ticketing fees.

Domestic tickets separate from the international itinerary are subject to a $50 non-refundable booking fee, if your request is fulfilled. This fee, along with airfare, will be collected by Traveland. Domestic flight tickets must be paid for at the time of booking.

How can I book my teen’s domestic flight?

Domestic flight requests can be submitted directly in the flight registration form. Families must provide specific details, including the desired airport. Traveland can only quote a domestic itinerary when all required information is provided.

I requested a domestic flight in the registration form. What happens next?

A Traveland team member will contact you within 5–7 business days with an itinerary and price quote. Domestic tickets are issued as individual tickets, and payment is due at the time of ticketing.

I didn’t request a domestic flight in the registration but changed my mind. What should I do?

Email us at BBYO@traveland.net with your teen’s name, specific travel dates, and departure/arrival airports so our team can assist you.

Are there specific requirements for domestic flight bookings?

Yes. Traveland works closely with BBYO and must follow BBYO’s official arrival and departure policies.

What happens if I cancel my domestic flight?

Airline rules apply. Most domestic tickets are non-refundable but may offer a credit.

I booked my own domestic flight and need help. Can Traveland assist?

No. Traveland can only assist with flights booked through Traveland. For self-booked flights, please contact the airline directly.

I entered incorrect information after my teen’s domestic flight was booked. What should I do?

Contact Traveland immediately. Some corrections are free; others may require a fee or ticket reissue.

Can domestic and international tickets be combined?

Only if the same airline permits it. Traveland cannot guarantee combined itineraries.

11. Flight Deviations (Itinerary Changes)

What is a flight deviation?

A deviation is any change to the group itinerary, including different travel dates, a different airline, or a different departure/arrival airport.

How can I request a flight deviation?

Deviation requests can be submitted directly in the flight registration form. Families must provide specific details, including the desired airport and alternate travel dates. Traveland can only quote a deviation when all required information is provided.

I requested a flight deviation in the registration form. What happens next?

A Traveland team member will contact you within 5–7 business days with a proposed itinerary and price quote. Deviation tickets are issued as individual tickets, and payment is due at the time of ticketing.

I didn’t request a flight deviation in the registration but changed my mind. What should I do?

Email us at BBYO@traveland.net with your teen’s name, exact travel dates, and departure/arrival airports.

When is the flight deviation deadline?

The deviation deadline is listed in your teen’s registration link. If unsure, please email us at BBYO@traveland.net.

What is the flight deviation fee?

Traveland charges a $50 deviation fee, in addition to the standard $250 registration fee and the airline ticket cost for the deviation.

Are there specific requirements for flight deviations?

Yes. Traveland works closely with BBYO and must follow BBYO’s official arrival and departure policies.

What if I change my mind and do not want to proceed with the flight deviation?

Reply to your deviation quote to return to the group itinerary. If you decline before ticketing, the $50 deviation fee will not apply.

I want to change my teen’s itinerary but am considering multiple date or destination options. Can Traveland explore possibilities?

Traveland cannot explore multiple options. We can only provide a quote once exact travel details are submitted.

Can I request a flight deviation after the deadline?

No. Airline group contracts only allow itinerary changes within a specific modification window.

What if I book my own flights instead of requesting a flight deviation?

You may book your own flights; however, Traveland cannot coordinate those with the group, and BBYO cannot guarantee transportation, supervision, or seating.

Why is there an additional flight deviation fee?

The fee covers Traveland’s administrative work, airline processing, and the impact on the group contract.

Why can’t my teen “no-show” the outbound flight and still use the return?

If a teen does not take the outbound flight, the airline will automatically cancel the return. A deviation must be arranged in advance.

Are deviation fees refundable?

No. Once processed and ticketed, all deviation fees are non-refundable.
